Job Responsibilities
Assess Workload and distribute work accordingly in collaboration with the Client Services, Creative Department and Production Department
Managing and planning projects from the beginning till the end Make sure that jobs are started and finished on-time
Become the Custodian of Production Processes – Monitoring that each job goes through each production process.
Make sure every project member has sufficient information to execute their task.
Perform the function as the central coordination between all departments in carrying out projects
Ensure that the Traffic status dashboard, Master Calendar/ Schedule, and resource workload sheet reflect each job’s actual state and resource utilization in the organization.
Follow the underpromise, overdeliver philosophy set in the workload allocation policies.
Prepare schedules by following the project timeline estimating procedure and seek approval from the Creative Director and the production team.
Assign job numbers and create master job bags for all projects
Track jobs regularly through morning, midday and end of the daily diary, checking if the jobs are meeting daily milestones.
Review project scopes, identifying Big or Small Projects, using client proposed deadlines and project monetary value.
Break down projects into crucial tasks using a resource allocation template and Identify and list out skill sets required for each job.
Use Job timesheets for historical data to estimate the time required for each task.
Use task duration data to map out project timelines on a Gantt chart.
Check availability of required resources with matching skills, and identify contingency resources as a backup.
Kick-off projects by scheduling team kickoff meetings.
Deliver projects on time and within budget by using appropriate resources.
Coordinate production jobs between creative and signage production teams using the send to print process
