QUALIFICATIONS AND EXPERIENCE
5 ‘O’ Levels including English Language;
Holder of a first Degree in Business Management or Business Administration or Office Management
Higher National Diploma in Secretarial Studies or equivalent i.e highest qualification obtained from LCCI, Pitman or Topflight;
At least 5 years working experience as a Chief Secretary or similar position;
Computer literate in MS Word, MS Excel, Power Point
University experience will be an added advantage;

DUTIES AND RESPONSIBILITIES
Reporting to the Pro Vice Chancellor for Research, Innovation and Industrialisation, the incumbent will among other things be responsible for the following:

Providing secretarial support and services to the Office of the Pro Vice Chancellor for Research and, Innovation and Industrialisation;
Harmonizing diaries and scheduling appointments;
Controlling and ensuring safe custody of the PVC’s keys and other assets in the Office.
Making travel and accommodation arrangements, nationally, regionally and internationally;
Typing, faxing, emailing and photocopying correspondence/ documents required by the PVC.
Handling all incoming and outgoing telephone calls in a professional manner;
Receiving and screening visitors

Creating and maintaining a high level physical and electronic record management system
Responsible for ordering adequate supplies of stationery and other office consumables;
Preparing for meetings with external stakeholders as well as liaising with Committee Secretaries with regards to University committee meetings
Dealing with incoming and outgoing mail whilst maintaining high standards of confidentiality;
Paying attention to issues with deadlines /timelines;
Any other duties as assigned from time to time.
