Reports to: Admin/Finance Manager
Responsibilities:
A.Office Management:
– Maintain an organized and efficient office environment
– Manage office supplies and inventory
– Ensure compliance with company policies and procedures
B. Project Administration:
-Preparation of quotations and tenders
– Assist project managers with documentation and paperwork
– Maintain project files and records (electronic and physical)
– Coordinate with contractors, suppliers, and clients
C. Communication:
– Handle phone calls, emails, and correspondence related to projects
– Greet visitors and clients
– Coordinate meetings and appointments with project teams
D. Data Management:
– Maintain accurate records of project progress, expenses, and timelines
– Assist with data entry and reporting (e.g., project management software)
E. Document Control:
– Maintain and update project documents (e.g., contracts, drawings, specifications)
– Ensure compliance with document control procedures.
F. Special Projects:
– Assist with event planning and coordination (e.g., safety meetings, training sessions)
– Conduct research and data analysis as needed
Requirements:
• 5+ years of administrative experience (construction industry preferred)
• school diploma or equivalent required; degree in business or related field preferred
• Proficient in Microsoft Office (Word, Excel, Outlook) and project management software
• Excellent communication, organizational, and time management skills
• Ability to work in a fast-paced environment and prioritize tasks effectively
