1. Title:
Head of Finance and Administration, Frankfurt Zoological Society, Zimbabwe
2. Position’s Objective:
The Head of Finance and Administration (HoFA) is responsible for the financial
management, administration, and human resources functions of FZS in Zimbabwe. It
additionally supports the establishment and development of FZS in Mozambique and Angola
until they get self-running. The role ensures compliance in Zimbabwe and alignment with
FZS financial policies and procedures and best practices while providing strategic financial
leadership to the organization.
3. Position in Organisation
The HoFA will report to the FZS Zimbabwe Country Director and will line manage finance
and administrative staff at the country office and in the field. The position will be as well
closely linked technically to the Headquarter Finance Teams and is integrated into the FZS
worldwide finance network.
4. Key Responsibilities:
Financial Management:
• Oversee financial planning, budgeting, and forecasting processes.
• Ensure the preparation of accurate financial statements and reports in line with internal
and external reporting requirements.
• Develop and implement financial policies to strengthen internal controls.
• Review and approve requests related to grant expenditures and procurements,
ensuring grant award procurement procedures are adhered to.
• Monitor and control expenditure to ensure budgetary compliance and financial
sustainability.
• Manage financial audits and ensure compliance with donor and regulatory
requirements.
• Oversee cash flow management and ensure financial risks are mitigated.
• Oversight of set up of financial management in new countries of operations
Grant Management & Compliance:
• Prepare monthly grant expenditure reports, and review Budget to Actual expenditure
for all grants for discussion in monthly review meetings
• Ensure proper financial administration of grants, including tracking expenditures,
preparing financial reports, and meeting FZS and donor requirements.
• Develop financial guidelines for grant-funded projects and ensure compliance with
FZS directives and donor contracts.
• Work closely with program teams to ensure financial alignment.
Administration & Operations:
• Oversee the day-to-day administrative operations of the regional office.
• Ensure the effective procurement and management of office supplies, equipment, and
facilities.
• Ensure that the FZS Zimbabwe registrations and statutory filings in Zimbabwe
are completed and lodged with the authorities in an accurate and timely
manner.
• Maintain updated records of service providers, contracts, and legal documentation.
• Support risk management strategies, including insurance policies and organizational
security measures.
4. Human Resources & Staff Management:
• Ensure proper payroll administration, tax compliance, and staff benefits management.
• Develop, and ensure adherence to, HR policies and procedures to promote staff
performance and organizational effectiveness.
• Lead recruitment, onboarding, and capacity-building initiatives for administrative and
finance personnel and support recruitment for other staff.
• Support the development of a positive organizational culture through effective
leadership and staff engagement.
• Onboarding of new finance staff in new countries
5. Essential Skills and Qualifications:
• Bachelor’s or Master’s degree in Finance, Accounting, Business Administration, or a
related field.
• An internationally recognised accounting qualification
• Minimum of 7+ years of experience in financial management and administration.
• Strong knowledge of financial policies, accounting standards, and regulation.
• Experience with grant management, donor reporting, and compliance.
• Experience with Zimbabwean labour, tax and other law
• Proficiency in financial management software and Microsoft Office Suite.
• Strong leadership and team management skills.
• Excellent analytical, problem-solving, and decision-making abilities.
• Strong communication and negotiation skills.
• High level of integrity, accountability, and confidentiality.
• Knowledge of financial and administrative practices within the non-profit sector in the region is an advantage
