The Grants and Compliance Coordinator is a position under the direction of the Executive Director.
The position is responsible for ensuring compliance of programmes, financial and grant management activities, as per the regulatory and donor rules.
S/he will be responsible for award management, financial monitoring and compliance and will provide capacity development and technical support to develop and strengthen grant management systems and ensure timely and efficient close-out of agreements.
The incumbent will support the coordination and implementation of all assigned project activities as outlined in the detailed implementation plan.
DUTIES
The incumbent will perform the following specific duties:
Monitor and report any challenges and/or gaps identified to inform adjustments to plans and implementation schedules.
Develop and strengthening internal control systems and processes for the projects.
Help identify risk issues and challenges and offer solutions to address them.
Assure ongoing compliance with quality and industry regulations, legal and ethical requirements.
Working under the supervision of the Executive Director to ensure the CeSHHAR research and program projects adhere to funder policies and procedures. Advise on contractual and grant matters and ensure quality control and compliance with donor policies and procedures.
Ensure procurement team follows set guidelines and that all staff and vendors are vetted before issuing contracts.
Supporting maintenance of a comprehensive information management and filing system that ensures all donor contractual documents, reports, key correspondences, etc. are appropriately filed in up-to-date and consistent soft and hard libraries available as needed
Coordinating and supporting monthly and quarterly monitoring of grants, using appropriate grant management tools, monitor project spending and variance analysis.
Ensuring that effective channels of internal and external communications relating to grants are established and respected
Maintaining a broad and deep understanding of relevant donor policies, regulations, and procedures
Lead in grant reporting and audits, Manages and supports preparations and successful conclusions of partner reviews and external audit activities.
Build capacity for grant compliance through assisting programmes technical lead and operations staff with understanding the reporting and other compliance requirements on their grants.
Ensure compliance with internal and external policies and procedures.
REQUIREMENTS
Must have a minimum of a bachelor’s degree and working towards achieving a professional qualification such as ACCA, CIMA, or CA. (master’s degree is preferred) in finance, business administration or a closely related field.
A minimum of 5 years of progressively responsible experience in financial management of large-scale, complex programs.
Demonstrated working knowledge of donor financial and procurement rules and regulations.
Demonstrable written, presentation, communication, and organizational skills in English. Strong analytical and problem-solving skills.
Demonstrated and detailed understanding of financial management, accounting principles and budgeting.
