FUNCTIONS/MEALS COORDINATOR: SUPPORT SERVICES DEPARTMENT; CATERING
SERVICES (1 POST)

Duties and Responsibilities

The successful candidate must be able to:
 Communicate internally and externally at all levels for meal bookings, billings and
other requests related to accommodation, food and beverages etc.
 Ensure smooth running of functions by maintaining close contacts with the
functions.
 Ensure that key departments are fully appraised of the events on hand for example
Front office, kitchens, stores, buying, maintenance or support services,
housekeeping, accounting and human resources sections.
 Take responsibility in timeous billing of students in residence and meals in liaison
with Student Affairs and Bursar’s office.
 Add value through initiatives that enhance volumes.
 Ensure availability of conference equipment requested in good working condition
and in line with the requirements of the conference venue.
 Prepare functions reports, analyze market share, top suppliers, lost business,
cancellations and customer feedback.
 Create new business as well as maintaining and retaining existing clientele.
 Initiate activities to drive the sales and marketing contributions to the Catering
Services’ revenues through turning potential business into actual sales that can be
measured.
 Present organizing, coordinating and planning abilities on day to day basis within the
work environment for both in-house functions and outside catering services as well
as student meals controls.
 Report any irregularities or unusual circumstances to Management.
 Carry out any other official duties that may be assigned from time to time.

Qualifications and Experience

 Higher or National Diploma or degree in Tourism and Hospitality Management/Events
Management/Hotel Operations/Sales and Marketing or related field with experience.
 Experience in Financial Accounting, personnel supervision and problem resolutions is
an added advantage.
 Excellent computer system skills.
 At least one (1) year experience of food and beverage/events/functions service and or
management restaurant, reservations, sales and marketing.
 Must be fluent in English. A foreign language would be an added advantage.
 Good negotiation skills
 Creativity
 Ability to build rapport easily with customers.
 Excellent computer skills in Excel and Word.
 Excellent personal presentation and grooming
