Person Specification
The Deputy Registrar for Academic Affairs reports to the Registrar and serves as the head of the Academic Registry. The mandate is to provide strategic advice, guidance, and leadership across the institution on all matters related to the Academic Registry, ensuring that policies and procedures are effectively implemented.
Applicants must have a minimum of a Master’s Degree in any Administration related discipline and at least 5 years post qualification experience at Senior Management level. The candidate must have served as Assistant Registrar/ Senior Assistant Registrar/ Senior Administrator or above for at least five years. Ability to work under pressure, meeting set deadlines, paying attention to detail, being meticulous and working outside normal working hours. Ability to work without supervision, team payer, critical thinker, strategic planner and team leader.
Duties
- Developing, managing and implementing the Institute’s Strategic Plan
- Ensuring the effective operations of Student Admissions, Registration, Student Records Management, the Examinations Office, Certification and Graduation;
- Overseeing day to day operations of the Academic Registry section;
- Ensure the integrity, accuracy and security of all academic records of current and former students;
- Identifying and monitoring new trends with implications for academic affairs administration and provide information for risk assessment for the University Executive Management;
- Handling enquiries and queries of an academic nature;
- Supervising and maintaining the degree audit systems;
- Compiling periodic reports and statistics on academic affairs;
- Servicing of Committees of Senate and Academic Board;
- Supervising junior staff of the Registry Section;
- Undertaking specific tasks assigned by the Vice Chancellor, Pro Vice Chancellor (Academic Affairs, Research and Administration) and the Registrar.
- Providing advice to University Management and Committees on all matters pertaining to academic affairs;
- Drafting and publishing examination and academic timetables;
- Develop secure student data files and set policy and procedure for their responsible use;
- Overseeing the preparation, organization and holding of academic ceremonies;
- Develop, interpret and enforce policies and regulations on academic affairs;
- Monitoring the University’s long- and short-term academic plans in accordance with its strategy;
- Assisting in the development of academic regulations and policies;
- Developing and monitoring the operationalization of the academic registry departmental budget;
- Maintaining up-to-date module schedules, catalogues and final examination schedules;
- Developing the Academic Calendar and ensuring that it is in sync with other University activities;
