Qualifications and Experience

  • A first degree in Social Sciences, Facilities Management or Development Studies
  • At least 4 years experience in facilities management
  • Experience in a tertiary institution would be an added advantage

Duties and Responsibilities

  • Plans, organizes, maintains, and manages the operations and reliability of University facilities and general infrastructure systems.
  • Manages the day-to-day operations of cleaning, grounds maintenance, building maintenance and transport and logistics operations.
  • Participates in the development, recommendation, and administration of policies, procedures and processes in support of departmental operations; implements and monitors compliance with approved policies, procedures, and processes.
  • Responds to requests and enquiries for service from faculties and departments.
  • Participates in the design, review, and planning of renovations and refurbishments, and does related work as required.
  • Establishes and monitors preventative maintenance processes and programs and facility inspection processes.
  • Schedules, assigns, reviews, and supervises the work of administrative services, skilled and technical/support staff. Evaluates, trains, and disciplines staff as necessary.
  • Administers procurement and fiscal management activities associated with cleaning, building and grounds maintenance activities, ensuring compliance with University and Government procurement regulations.
  • Trouble-shoots and responds to after-hour issues as needed.
  • Updates and maintains asset register, including life-cycle and replacement costs.
  • Monitors and oversees the work of external contractors to ensure terms of agreements are met and work is completed satisfactorily.
  • Participates in the development and administration of cleaning, grounds maintenance, building maintenance and transport and logistics budget; coordinates the allocation of resources following budget approval; recommends approval of expenditures.
  • Management of all materials and stocks required to undertake effective cleaning, grounds maintenance, building maintenance and transport and logistics services.
  • Collects and analyzes a variety of complex data and information, including utility costs and usage. Performs statistical analysis and summarizes findings in applicable reports or other communication mediums.
  • Participates in/on a variety of meetings, committees, task forces, and/or other related groups to communicate information regarding services, programs, areas of opportunity, and/or other pertinent information as appropriate.
  • Serves as a liaison with other departments within the College, the community, and external agencies in order to provide information on available resources, projects, and/or services.
  • Collaborates in the planning and hosting of University events. Ensure all the required materials and resources are on the ground for the functions.
  • Submits weekly and monthly performance review reports.
  • Contributes to the success of the Central Services and Amenities Department by performing all other essential duties as assigned
