Job Title: Business Administrator (Pharmacy Management)

The Role:
A leading Medical Aid Society is looking to hire a Business Administrator, responsible for a wide range of administrative and operational tasks that support the efficient and compliant functioning of its multiple pharmacies. The incumbent will work closely with the Pharmacy Managers, Pharmacists, and support staff at each location to ensure consistent processes, manage administrative workflows, and contribute to the overall success of the business.

Key Responsibilities:

Financial Administration Support: Assist with basic financial administration tasks, such as processing invoices, managing petty cash, and reconciling expense reports. Liaise with the finance department as needed.

Administrative Support: Provide comprehensive administrative support to the Pharmacy Managers and Head Office, including managing correspondence, scheduling meetings, preparing reports, and maintaining organized filing systems (both physical and digital).

Operational Coordination: Facilitate communication and coordination between different pharmacy locations, ensuring consistency in administrative procedures, policies, and best practices.

Compliance and Documentation: Assist in maintaining compliance with relevant healthcare regulations, licensing requirements, and internal policies. Manage and organize essential documentation, including licenses, permits, and contracts.

Inventory and Supply Management Support: Support the coordination of inventory management processes, including ordering, receiving, and tracking supplies across locations. Liaise with suppliers and resolve any related issues.

Reporting and Analysis: Gather data and prepare reports on key operational metrics for management review. Assist with basic data analysis to identify areas for improvement.

Qualifications and Experience:

  • A degree in Accounting/Business Administration or related
  • Proven experience as an Accountant or Business Administrator, or similar administrative role, within the healthcare or pharmacy sector
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively and manage multiple deadlines.
  • Strong attention to detail and accuracy.
  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with administrative software.
