POST A: ADMINISTRATIVE ASSISTANT – CENTRAL RECORDS

QUALIFICATIONS AND EXPERIENCE

  • A holder of a Bachelor’s degree in Records Management or Related Fields
  • Minimum of one year working experience in a university or related environment.

SKILLS AND COMPETENCIES

  • Good communication skills both oral and written;
  • Should possess good interpersonal skills;
  • Planning and organizing skills;
  • Computer literate in MS Word, MS Excel.

DUTIES AND RESPONSIBILITIES

  • To act as the first point of contact for enquiries to the office from students, staff and the public, either in person or by telephone and to help in the recruitment of new students. This includes advising students and staff on regulatory and procedural matters.
  • Implementing records management policies and systems to ensure that records are accurate and stored securely for the correct amount of time and disposed of in line with legal requirements.
  • Liaising with internal and external stakeholders for the effective implementation of the University’s records management policy.
  • Designing and developing appropriate records management/ filing systems.
  • Classifying and indexing records.
  • Dealing with enquiries and requests for information, including queries from internal users requiring data for reference in making decisions.
  • Destroying or archiving records.
  • Managing the changeover from paper to electronic records management systems.
  • Ensuring compliance with relevant legislation and regulations.
  • Verification of prospective employees/students’ qualifications to determine the authenticity of certificates.
